Multi Location Complexity
Multi-location inventory adds complexity to every aspect of operations: what to show customers, where to fulfill from, how to sync with external systems. Getting it wrong leads to overselling, incorrect fulfillment, and operational confusion.
Shopify's Location Model
Understanding how Shopify handles locations.
Location types
- Locations: Physical places where you store inventory
- Warehouses: Third-party fulfillment locations
- Retail stores: Physical store locations
Each location tracks inventory independently.
Location priority
When an order comes in, Shopify uses location priority to determine where to fulfill from. You configure which locations fulfill online orders and their priority.
Available inventory
Inventory shown to customers is the sum across locations configured for online sales. If Location A has 5 units and Location B has 3 units, customers see 8 available.
Common Multi Location Scenarios
Different business models have different requirements.
Warehouse plus retail stores
Main warehouse for online orders, retail stores for in-store sales. Configure the warehouse as the primary online fulfillment location. Stores can serve as backup for local fulfillment or pickup.
Multiple warehouses
Geographically distributed fulfillment. Route orders to the nearest warehouse based on customer location. Requires custom logic or apps for geographic routing.
Third-party logistics
3PL partners appear as locations in Shopify. Inventory syncs from their systems to Shopify. Orders route to them for fulfillment.
Dropship suppliers
Supplier locations that fulfill directly to customers. Inventory may be virtual or synced from supplier feeds.
Inventory Sync Challenges
Keeping locations in sync with external systems.
Source of truth
Decide what system is authoritative for each location's inventory. Usually the WMS or ERP for warehouses. Shopify or POS for retail stores.
Sync direction
One-way or bidirectional sync? If Shopify adjusts inventory (returns, manual adjustments), does that flow back to the source system?
Timing
Real-time sync prevents overselling but requires robust integration. Scheduled sync is simpler but creates windows for discrepancy.
Conflict resolution
What happens when Shopify and the external system disagree? Define rules for which system wins.
Preventing Overselling
Multi-location increases overselling risk.
Safety stock
Reduce displayed inventory by a buffer amount. If warehouse has 10 units, show 8 to customers. The buffer absorbs timing differences in sync.
Fast sync for high-velocity items
Items that sell quickly need faster inventory updates. Prioritize sync frequency for bestsellers.
Cross-channel coordination
If the same inventory serves multiple channels (online, marketplace, retail), coordinate updates across all channels to prevent cumulative overselling.
Fulfillment Routing
Sending orders to the right location.
Default priority
Shopify fulfills from the highest priority location with available stock. Simple but may not optimize for shipping cost or speed.
Geographic routing
Route to the location nearest the customer. Requires logic based on customer shipping address. Apps or custom development can implement this.
Split shipments
When one location cannot fulfill the entire order, split across locations. This increases shipping cost but may be necessary for fulfillment speed.
Channel-specific routing
Different channels may route to different locations. Marketplace orders to one warehouse, direct orders to another.
Reporting and Visibility
Understanding inventory across locations.
Location-level reporting
Track inventory levels, movements, and accuracy by location. Identify locations with frequent discrepancies.
Total inventory view
Aggregate view for purchasing decisions. What is total inventory across all locations?
Available to sell
Inventory available for online sale may differ from total inventory. Reserved stock, retail-only stock, and damaged goods should not show as available.
